PASTOR: Even if we have been with you for previous meetings, PLEASE review ALL of the enclosed material as there may have been some changes since we were last with you.

Introduction

We sincerely appreciate the interest you have expressed in our ministry by inviting us to conduct a series of meetings in your church. We are eagerly looking forward to our time of ministry together coming up shortly.

This packet of information is designed to help you as you pray, plan and prepare for the meetings. Please read through ALL of the enclosed material. Even though we may have been with you in previous meetings, I would respectfully request that you take the time to review all of the enclosed material. The time you invest will greatly aid the success of the meetings.

You should be receiving this packet approximately three months before we arrive. I strongly encourage you to begin announcing the meetings within a week of receiving this material in order to allow your people time to clear their schedules to be able to attend the meetings. It is very disappointing to arrive at a church only to hear more than one family say to us, “If only we had known about these meetings weeks ago, we would not have planned … etc.”

POLICIES & PROVISIONS

I. PERSONAL
A. LODGING

The Lord has provided us with a reasonably large 39’ basement model motorhome for lodging during a meeting. It is completely self-contained and can be parked anywhere along side of the church on as level a spot as possible. Water and electrical outlets are best if located within fifty feet of the RV. Either a 240 volt 50 amp or  two 30-amp outlets are ideal, if available. They can be fairly easily installed, usually at minimum expense. If that is not available, a regular three-pronged outlet will do if it is on a circuit with at least a 20-amp breaker (or fuse), and that does not have a lot of lights and other equipment on it. Please check your circuit breaker box to make sure that the circuit is sufficient for our motorhome.

     

NOTE: If we are to be with you in the heat of summer, it will be necessary to have a minimum 30-amp circuit available in order to run the A/C in the motorhome. A 20-amp circuit trips too easily in the hot weather. Without A/C, the motorhome becomes like an oven. In the above case, we would suggest allowing us to park at a nearby campground with 30-50 amp service.

Should your town (A) have a zoning ordinance that does not allow for RV parking, or (B) if you are located in a city where parking a large RV is either not possible or not safe, you may wish to try one of several other options. In the case of “A”, see if special permission or variance can be obtained for an RV for the brief period of time it will be there. Sometimes special permission can be obtained if requested in reasonable time. If not, or in the case of “B”, you may wish to see if a family in the church who has ample parking would allow us to park at their place (if it is not too far from the church). A sister church may also be contacted, again, if within a reasonable distance. There is also the option of making arrangements at a local campground, if one is available within a reasonable distance from the church. If this option is chosen, sewer hookups should be available.

At this time we are towing a small car behind our motorhome that provides us with transportation during the meetings.

B. MEALS

While we greatly enjoy taking meals in the homes of your people and enjoy the fellowship with them in a more informal setting, we would request that not more than one meal per day be scheduled, Sundays excepted. On Sundays we are available for both the noon meal as well as a light luncheon type meal after the evening service.

Either noon or evening is acceptable for meals. Meals may also be provided at our motorhome if that is preferred. While by no means a requirement, a small grocery allowance to help with breakfast and lunch would be appreciated.

IMPORTANT: Please note the attached list of dietary needs. Copies may be made and given to each hostess. Thank you for your help in this area.

NOTE: Since it is necessary for last minute tunings of the various instruments (in addition to warming up), please allow enough time for us to get back to the church at least 30 minutes before the service is scheduled to begin.

 

II. FINANCIAL
A. Believing God’s promise that He will “supply all our needs according to His riches in glory,” we have made it a firm policy to not set a “fee” or “financial minimum” of any kind for meetings. Assuming that the church will cover the necessary expenses of a meeting, including travel (see item “B” below), each meeting is a faith ministry as we trust the Lord and the Lord’s people for whatever love-offering is received, however large or small it may be.

Prayerful consideration should be given, however, to the fact that an evangelist can not physically be preaching fifty-two weeks a year. A well-scheduled evangelist will usually schedule between thirty and thirty-five meetings a year; hence only that number of “paychecks” per year, although he necessarily incurs the same living expenses anyone else may have (mortgage, taxes, etc.) in addition to having to pay his own retirement, hospitalization, etc.

NOTE: Should your church receive an unusually large love offering, please do not think that the evangelist is just getting “rich” at your church’s expense. Many times such offerings are the Lord’s way of helping to make up a deficit from several smaller churches that, though perhaps giving sacrificially, simply were unable to meet the many needs of the evangelist and his family. Personally, we have had several churches that were not able to meet even the cost of traveling to the meeting. We have also returned to many of those churches because we believe that finances should never hinder a church’s ability to have a series of special meetings.

B. Since it costs a great deal to travel with an RV (“Revival Vehicle”) today, especially with the cost of fuel in addition to payments, insurance, maintenance, etc., we would ask that prayerful consideration be given to the possibility of helping with our travel expense.

NOTE: This is not a charge, fee, or requirement of any kind as we come to you regardless of whether or not your church is able to help. It should be remembered, however, that while we are with you, you would not have the expense of airfare, motel, etc. Travel expenses should not be considered as part of the love offering, but as part of the expenses of the meeting along with flyers, publicity, etc.

With the rising cost of fuel, insurance and tolls, our expenses have risen dramatically. Please be assured that we try to be good stewards and do our very best to keep expenses at a minimum. While miles driven between meetings may vary, sometimes substantially, the total cost of travel, divided equally by the number of meetings per year, comes to an average of a little more than $375 per church.

C. If possible, we would appreciate receiving two checks; one marked “Expenses”, and the other marked “Love Offering.” It would be helpful to us if we could receive the expense check earlier in the week. Please do your best to have the “Love Offering” check ready by the end of the week since it takes several weeks for our mail to catch up with us.
D. May I also suggest that you prayerfully consider doing what you can to have as many of the expenses of the meetings taken care of before they actually begin. This can be accomplished in a number of ways.
1. Include funds in your annual church budget to be used for special meetings.
2. A second offering can be received on two or three Sundays prior to the start of the meetings for this purpose.
3. You may wish to leave a plate at the door after services for two or three Sundays before the meetings as a retiring offering to be used for the meetings.
4. Included with in this packet is a letter and a “sign-up” sheet to be used to cover the expenses of the meetings. Please feel free to use it as it best meets your needs.
In this way, several churches have been able to take care of most, if not all, of the expenses before the start of the meetings. The above are offered as suggestions ONLY and not as requirements.

 

III. MISCELLANEOUS
A. Music

Since our ministry includes a wide variety of music on a number of different musical instruments, in addition to children’s object lessons, we would suggest that you not schedule special music other than that which we will provide, with the exception of the Sunday morning service.

We offer a mini sacred concert, usually on the last night of the meetings. The musical part of the program lasts approximately forty-five minutes. With a strong evangelistic message, the final service may last about fifteen minutes longer than the rest of the week. Our services usually average between an hour and fifteen minutes and an hour and a half.

B. Special Children’s Meetings

When my wife Barbara accompanies me, she conducts a special children’s ministry during the evening services only beginning with Sunday Evening. I do prefer to have my wife with me in both the Sunday School and morning service. It is important for her to get to meet your people since she is with the children each evening.

NOTE: PLEASE DO NOT CANCEL ANY CHILDREN’S MINISTRIES such as Awana, Patch The Pirate, etc. These are wonderful opportunities to further reach these children and enlarge the work in the church. Rather than cancel such ministries, encourage the children to bring their parents to the special meeting. We will have a special emphasis for them.

Children’s ministry is for grades K-5 through grade 6 only. Due to the teaching level of this children’s ministry, we do NOT recommend that children under the age of 5 be included. We suggest that the church provide a separate ministry for the 3 and 4 year olds, as it requires a completely different approach.

The children remain in the auditorium for the musical presentation and object lesson. They are dismissed during the hymn that is just before the message to a separate room for their class time with Mrs. Lynch.

May we suggest that you encourage your people to look upon these special children’s meetings just like they do DVBS. We encourage the same effort to bring children to the services. Many times parents will come with them one night, if just out of curiosity. When they do come, they are under the sound of the gospel. Many have come to know the Lord Jesus Christ as their Saviour as a result of this ministry.

C. Crusade Contest

We have found that the use of a crusade contest can be very effective in getting folks to bring visitors to the services, should you care to use one. Any person who brings with them an accumulated total of _______* different visitors (each visitor counts only once) would receive the choice of one of our music cassette tapes, compliments of the church. A visitor is someone who does not regularly attend your church, though they may have visited on occasion previously.

This contest often results in a number of new folks visiting the church who then become prospects for future follow-up.

Our cassette recordings sell for $8 each. However the cost to the church is only $5 each. That helps keep the cost to the church at a minimum. It is not likely that you will be awarding more than five or six recordings (depending on the size of your church), although you may be pleasantly surprised at the number of visitors attending.

*You decide the number you think is within reasonable reach, but don’t make it too easy.

D. Personal Checklist for Revival

Included with this packet is a Personal Checklist for Revival”. It is designed to be used as a bulletin insert and has a prayer list on the reverse side. Several pastors have preached through this checklist on the previous couple of Sundays or mid-week Prayer Meetings prior to the start of our week of ministry. Encourage your people to use the prayer list for people they would like to see saved during the meetings. Ask them to pray for them every day by name as well as inviting them (several times, if necessary) to the meetings.

E. Cottage Prayer Meetings

The importance of bathing these meetings in prayer can not be over-emphasized! Do encourage your people to meet together several times, informally in homes, to pray specifically for God’s blessings to be poured out on the services. It would be well to begin these special prayer meetings three to four weeks before we arrive. It will also help to prepare the hearts of those that are praying for the meetings and raise a spirit of real anticipation.

F. Pastoral Luncheon

If there are other fundamental pastors in your area, may I suggest the possibility of having a pastors and wives covered-dish luncheon during the week. It would give them an opportunity to have some much-needed fellowship together as well as giving us an opportunity of meeting them. We would be glad to present a short musical program and a brief Bible message to encourage them. Should you choose to do this, the luncheon would be in lieu of a scheduled meal in someone’s home.

NOTE: ** Songs should be lively and have an evangelistic thrust.

** Two verses of each song are suggested. Too many verses of too many songs only lengthens the service unnecessarily since there is plenty of music.

** If you stay within these guidelines, rarely does a service exceed an hour and a half. Every effort is made on my part to stay within that time frame without quenching the ministry of the Holy Spirit.

H. Revival Song Sheet

Included at the end of this packet is a song entitled Lord, Send A Revival. You may wish to reproduce it and use it as a theme song during the meetings, although it is not necessary to use it every night.

Feel free to make any modifications you feel necessary. As you already know, we make NO demands of any kind as our ministry is a “faith” ministry. It is hoped that the use of something like this may be helpful to your people.

Should you choose to use it, you should help your people to understand that these are expenses of the meetings and not to be considered a part of the love offering.

I would suggest that you place the sign-up sheet on a clipboard and pass it among the church members at least two to four weeks BEFORE the start of the meetings. Doing so will help to lessen the financial burden on your people.

1.  Please avoid pasta or recipes that are heavy in cheese.

2. Well-cooked onions or peppers are fine but when raw, they present      digestive challenges.

3.     Due to digestive problems, please avoid corn also.

4.  Please excuse us if we pass on dessert, as we need to watch our blood sugar levels.

PREPARING FOR AN EVANGELISTIC CAMPAIGN

I. PRAYING FOR THE MEETINGS

A. Public Prayer Meetings
1. Mid-week prayer meetings

II. PROMOTING THE MEETINGS
A. Before the meetings
1. Expect to receive a promotional packet at least three months in advance of the meetings. Contact your evangelist right away if you don’t.
2. Read (and reread) ALL the material your evangelist sends you.
3. Prayerfully consider the suggestions made and do your best to implement as many as you can. Most evangelists do not make demands, but do make some suggestions as to what has worked well for them.
4. Announce the meetings as early as possible (even on the first Sunday of the year) followed by frequent announcements as the meeting time approaches.
5. Encourage your people to set the entire week aside for the meetings and plan to attend all the services.
6. Make sure all special music is prepared ahead of time and is well done. Some evangelists do their own music, so you will want to plan accordingly.
7. Plan several counselor-training sessions before the meetings begin.
8. Have a cheerful, well-staffed nursery for every service.
9. Ushers should be polite and neatly dressed, and should make every visitor feel welcome.
10. Plan to have a good supply of visitor’s cards and make sure that every visitor receives one. This will provide follow-up leads after the meetings are over.
11. Always prepare for every meeting as though it was the first one you ever had. Preparations for last year’s meetings will not do for this year’s meeting. The field needs to be plowed for this year’s harvest.
B. During the Meeting
1. Start each service on time. NEVER be late.
2. Follow a planned schedule for the service so that things are not done “spur of the moment.” Make sure each participant knows what he or she is doing and when it is to be done.
3. Depending on how much special music you have, plan a lively song service being careful to not have too much singing.
4. Have trained counselors ready to respond as soon as the invitation is given.
C. After the meeting
1. Make sure every visitor receives a letter from the church and a visit from a member of the church. Hopefully, these visits will yield even further fruit.
2. Make arrangements for follow-up on every person who made a decision during the meeting. Assign someone to disciple them and talk with them about the importance of believer’s baptism.
3. Be sure to write a “Thank You” note to your evangelist for giving of his time and pouring his life into your people. You will probably receive a similar note from him.

III. PREACHING PRIOR TO THE MEETINGS
A. The preaching ministry of the pastor during the weeks prior to the meetings can really help to set the tone for the meetings once they begin.
B. Pastoral preaching should include sermons on such subjects as sin, revival, repentance, prayer, bitterness, forgiving one another, soul-winning, etc. Such preaching can do much to prepare the hearts of the people.

IV. PROVIDING FOR THE MEETINGS
A. Hospitality
1. Housing (RV, motel, prophet’s chamber, private home, etc.)
2. Meals
a. Find out any particular needs and/or dietary restrictions the evangelist may have.
b. The general rule of thumb is no more than one meal per day out. Since every person is different check with your evangelist.
B. Finances
1. Travel Expenses
a. Find out what the expenses are.
b. Try to raise as many of the expenses as you can before the meetings begin.
c. Placing funds for meetings in the annual church budget will greatly help with the financial needs of the meeting and will lessen the pressure on your people.
d. Expenses should not be considered as part of the Love-Offering.
2. Love-Offering
a. Keep in mind that the evangelist does not receive 52 weeks of income per year.
b. Apply the principle of II Corinthians 9.
c. Remember, God honors generosity (Mal. 3; II Cor. 9; Luke 6).
